Booking the venue is the easy part. Why a Newcastle taxi is hardest to find on the night you need one
Every office in the region books its Christmas do into the same handful of evenings. Mid-December Fridays and Saturdays, mostly. That means the Quayside, the Bigg Market and half the restaurants in the city centre all empty out within the same hour, and everyone goes looking for a car at once. App pricing climbs with demand, ranks build queues, and a driver with a choice will often take three short town runs over one long haul out to Washington or Peterlee.
We’re not going to tell you what a fare will be on the night, because nobody can. Check the apps on the day if you want a comparison, then check them again at midnight. What we can tell you is the bit that actually goes wrong: a group of fifteen doesn’t fit in one taxi. It fits in four or five, they don’t arrive together, and someone ends up stood on the pavement on their own waiting for the last one. That’s the phone call you don’t want.
Getting everyone home is the organiser’s problem in practice
If you’re organising on behalf of an employer, you’ll have realised that a duty of care doesn’t neatly stop at the venue door when the company is paying for the evening. We’re a minibus firm, not a law firm. Take the formal position from your HR lead or your insurer. In practice, though, the person who booked the room is the person who gets the call when someone is stranded in town at half past midnight, and the person who has to explain it on the Monday.
Booked transport takes that whole question off your plate. There’s one answer to “how am I getting back?”, everyone hears it at the same time, and nobody quietly decides they’re fine to drive after two. This is the part organisers underrate. If people have to get themselves into town, a few of them will drive, which means either a designated driver who wanted a drink or a car left in a city-centre car park overnight. How early to book a December date
As soon as you’ve got the date. That’s the honest answer, and it isn’t us being pushy: Fridays and Saturdays through the middle of December are the first evenings to go in our diary, and once a vehicle is committed for a night it’s gone. If you’re reading this in August or September, you’re early, and early is where you want to be.
Don’t wait for a final headcount. Numbers move right up to the week of the party in every company we’ve ever carried. Book the date with your best estimate, say that it’s an estimate, and we’ll settle the vehicle size as it firms up. The date is the thing you can’t get back later.
More than 16 people means more than one minibus
Our fleet runs from 8 to 16 seats: 8, 10, 12, 14, 15 and 16-seaters. We don’t run coaches, so if there are 22 of you that’s two minibuses, and we’d rather say it at the quote stage than let you find out on the night. Two vehicles turning up at the same place at the same time works perfectly well. It just needs booking as two. Reliable transport is a boring thing to buy and an expensive thing to get wrong. Here’s what sits behind the booking:
- Fully licensed. We operate as a licensed PSV service with licensed PSV drivers.
- DBS checked. Every driver, without exception.
- Public liability insurance. In place, and we’ll put the details in writing if your finance team need them on file.
- Family-run, 10+ years. The same people answer the phone in December as in June.
- Driver only. We don’t offer self-drive, which for a Christmas do is rather the point.
When you don’t need us
Sometimes you don’t, and we’d rather say so. If there are six of you, the venue is in the city centre and everyone lives within a walk or a couple of stops, two taxis will beat a minibus on cost. If the night finishes early enough to catch the last Metro and everyone lives on the line, the Metro is cheaper than anything we do. Check the festive timetable rather than the usual one, because it changes over Christmas and New Year.
Where that stops working is the moment the group is spread out. We’re available 24/7, including emergency and last-minute bookings. A 1am or 2am return is an ordinary December booking for us. Tell us the time when you book and the driver will be there.
